Fall Events & Activities: Safety Protocols, Masks & COVID Capacities

With fall semester underway, it’s important to understand the latest guidelines for in-person happenings - both on and off campus.
The following protocols apply to in-person activities for the foreseeable future. Please note that these
guidelines are subject to change as the campus leadership team evaluates the impacts of COVID-19.
- Posted COVID capacities must be followed for meetings, events and indoor gatherings other than essential academic activity directly related to student/trainee teaching and learning. COVID capacities may be exceeded for essential indoor academic activities and academically focused meetings when necessary, to ensure continuity of in-person teaching and learning.
- Large events unrelated to essential academic activity are discouraged from taking place in person at this time. However, such events may be approved if aligned with safety protocols and COVID capacity guidelines.
- All events and activities of 45+ attendees, other than classes and essential academic campus activities, require approval, and must not exceed posted COVID capacities.
- Food may only be served and consumed outdoors.
- Masks are required of all attendees indoors at classes, meetings, events and gatherings of any size.

Academic Activities & Classes – Indoors
- Classes, grand rounds, seminars, lectures and academically focused meetings that are part of or critical to the student/trainee educational experience are considered essential academic activities. These may continue to take place, and COVID capacities
are not applicable.
- Student organizations may host meetings, trainings and workshops outdoors, or indoors while adhering to the posted COVID capacity of the venue.
- Applications are required for all activities other than classes or essential academic activities, when 45+ attendees are expected.
- All participants in indoor academic classes and activities must wear masks at all times while in indoor facilities and maintain physical distancing to the extent possible.
- Lecturers may remove their masks in lecture halls and classrooms for clarity and ADA purposes, provided there is sufficient distance (10+ feet) between themselves and participants, and all participants are wearing masks.
Event Protocols – On Campus, Indoors
- Large meetings, conferences, CME courses, symposia, and similar activities are discouraged from taking place in person at this time. However, such events may be approved if aligned with safety protocols and posted COVID capacities.
- If the expected number of attendees exceeds the room’s COVID capacity, either the number of attendees must be reduced or the event must be relocated to a larger venue.
- Applications are required for all activities other than classes and essential academic activities, when 45+ attendees are expected.
- All participants at indoor events must wear masks and maintain physical distancing to the extent possible.
- Food is allowed only outdoors at this time and cannot be self-serve (buffet style). Those serving food to attendees must be masked and vaccinated
Event Protocols – On Campus, Outdoors
- Outdoor events are generally permitted. Applications are required for events with 45+ expected attendees.
- Unvaccinated attendees must wear masks unless able to keep 10+ feet from others.
- Food cannot be self-serve (buffet style). Those serving food to attendees must be masked and vaccinated
Event Protocols – Off Campus
- Off-campus university events of 45+ attendees require approval by the dean or vice chancellor of the organizing unit, regardless of whether university funds are being used. Contact the dean’s/vice chancellor’s office directly with
such requests.
- Off-campus university events of 45 or fewer attendees do not require approval and may be booked directly through the event venue.
- Attendees must follow protocols in place at the event venue and local public health authority.
Visitors & Guests
- Visitors and guests, including contractors and vendors, are allowed on campus, provided they follow the same campus protocols as students and employees. Sponsoring units or individuals must ensure visitors and guests are informed of and adhere
to campus protocols.
Event Management Tools
- Events involving paid registrations must use Cvent or CU Storefronts.
- Fundraising events and events with paid sponsorships must use Cvent.
