How to Use the Zoom AI Companion Safely

Zoom AI Companion for Meetings including Meeting Summary, Smart Recording, In-Meeting Questions and AI Companion for Whiteboard are features that have been approved by the Information Security and IT Compliance team for use by faculty, students and staff beginning May 2024. Zoom AI Companion has been enabled to allow meeting hosts to initiate an AI-generated summary of meetings and online discussions.

Zoom’s generative AI assistant empowers individuals by helping them be more productive, connect and collaborate with teammates, and improve their skills. Zoom AI Companion is a set of generative AI features that can be enabled across the Zoom platform. The company's federated approach to generative AI is designed to deliver high quality results by dynamically incorporating Zoom’s artificial intelligence model as well as third-party artificial intelligence models provided by subprocessors, such as OpenAI and Anthropic. With this approach, AI Companion can incorporate innovations in artificial intelligence models while getting the benefits of improved quality and performance.

Zoom has indicated that it does not use any customer audio, video, chat, screen sharing, attachments, or other communications like customer content (such as poll results, whiteboard, and reactions) to train Zoom’s or its third-party artificial intelligence models. 

 

Security and Privacy

Security and privacy controls are in place to protect university data. The university community must follow and abide by university policy, and relevant state and federal law regarding protecting data and information systems, including but not limited to HIPAAFERPAGLBAGDPRFISMA (NIST 800-53r5)University HIPAA PolicyUniversity Acceptable Use of Information Technology Resources Policy 5001, and Administrative Policy Standard 6005 Information Security Program

Privacy is an important consideration when using Zoom AI. Similar to asking for permission to record a meeting, let meeting attendees know that an AI feature has been enabled for the meeting and ask if anyone has objections. When using, storing, processing information, and accessing the Zoom AI Companion, please consider the following:

  • Protect the privacy of others.
  • Protect highly confidential or confidential information stored on devices.
  • Protect highly confidential or confidential information from unauthorized physical access.
  • Protect computing systems, workstations, and other computing devices.
  • Protect passwords, identification cards and other access devices.
  • Report security violations, malfunctions, and weaknesses to it.security@cuanschutz.edu or it.security@ucdenver.edu.
  • Utilize information and information technology resources for authorized purposes only.
